Tryout Policy


FYBA Fusion Tryout and Player Selection Policy

Applies To: All youth basketball team tryouts, including A and B team selections where applicable.

1. Purpose

The purpose of this policy is to establish a fair, consistent, transparent, and developmentally appropriate process for evaluating players and selecting youth basketball teams. The process is intended to reduce bias, promote player development, support competitive balance, and maintain confidence among players, families, coaches, and the Board.

The objective of team selection is to place each player in the environment that best supports their current level of development while providing an appropriate opportunity to learn, contribute, compete, and enjoy the game of basketball.

2. Guiding Principles

  • All eligible players will be given a meaningful opportunity to be evaluated.

Where practical, players are expected to attend all scheduled tryout sessions, as attendance at multiple sessions provides the Selection Committee with the best opportunity to complete a fair and accurate evaluation.

  • Selections will be based on observed basketball skills, effort, coachability, attitude, team needs, and readiness for the level of play.
  • The process will be conducted with integrity, confidentiality, and respect for all participants.
  • No player is guaranteed placement on a team based on prior participation, prior team placement, family relationship, volunteer role, or coach preference.
    Selection to the A team is not intended to recognize prior team placement or past achievement. Team placement reflects each player's demonstrated readiness, performance, and overall fit for the team at the time of the current tryout.
    • Every tryout is a new evaluation. Previous team placement, prior evaluations, or historical performance shall not create an expectation of selection to any particular team.

3. Board-Appointed Selection Committee

The Vice President(s) responsible for Competitive Programming shall appoint a Selection Committee for each tryout cycle. The Selection Committee will be responsible for overseeing the evaluation process, reviewing evaluator feedback, applying the criteria in this policy, and preparing recommended rosters for the A team and, where applicable, the B team.

The Selection Committee shall include a minimum of three members whenever practical. The Committee may include the Head Coach, program directors, independent evaluators, or other individuals identified by the Vice President(s) responsible for Competitive Programming who possess appropriate basketball knowledge and can act impartially.

 

4. Access to the Gym During Tryouts

To preserve fairness, reduce distractions, and protect the confidentiality of player evaluations, tryouts shall be closed to parents, guardians, spectators, non-designated coaches, and other individuals not approved by the Board or Selection Committee. Limiting access helps ensure that players are evaluated on their own performance in a neutral environment, without sideline direction, pressure, commentary, or perceived influence from adults in the gym.

Only the head coach of the A team and the head coach of the B team, where one has been appointed by the Vice President(s) responsible for Competitive Programming to assist with the evaluation process, should be present in the gym during tryouts for that age group or division.

Assistant coaches are excluded from the gym during tryouts to avoid actual or perceived undue influence on the process. This includes the risk that an assistant coach could direct, encourage, correct, or otherwise influence players during tryouts, including their own child or players with whom they have an existing relationship. Even when no improper influence is intended, the presence of assistant coaches may create a perception of favoritism or unequal access to coaching, which can undermine confidence in the fairness of team selections.

The presence of the A and B team head coaches is permitted for observation, logistical support, and consultation with the Selection Committee.

6. Exceptions to Gym Access Rule

The Board or Selection Committee may approve limited exceptions to the gym access rule when necessary for safety, supervision, accessibility, evaluation quality, or operational needs. Examples may include medical support personnel, facility staff, independent evaluators, a designated tryout coordinator, interpreters or accessibility aides, or other individuals required to run the tryout safely and effectively.

7. Evaluation Criteria

Players should be evaluated using age-appropriate criteria, which may include ball handling, shooting, passing, rebounding, defense, footwork, decision-making, game awareness, effort, competitiveness, teamwork, coachability, attitude, attendance at tryout sessions, and overall readiness for the expected level of play.

Whenever practical, player evaluations should include input from multiple evaluators. Utilizing more than one evaluator helps reduce individual bias, improves consistency, and promotes a fair and balanced assessment of each player.

Where multiple teams are formed, the Selection Committee may also consider roster balance, positional needs, player development considerations, and team composition. These factors should be applied only after considering the player’s evaluation results and overall fit for the level.

8. Underage Players Trying Out Above Their Age Level

U13-born players who wish to try out for a U14 team are welcome to participate in the U14 tryout process, provided they meet any applicable registration, eligibility, and league requirements. Participation in the tryout does not guarantee selection to the older age level.

To be selected for a U14 team, a U13-born player must be evaluated by the Head Coach and/or Selection Committee as being within the top five players in skill development among the players being considered for that team or tryout group. This standard is intended to ensure that underage placement is used only where the player has demonstrated exceptional readiness for the higher age level.

The Head Coach and/or Selection Committee may consider basketball skill, physical readiness, decision-making, maturity, competitiveness, coachability, and overall fit for the higher age level when applying this standard. The final decision will remain at the discretion of the Head Coach and/or Selection Committee, consistent with this policy and the best interests of the player and program.

8. Team Selection and Approval

Final roster approval shall be made by the Head Coach with input & direction from the Vice President(s) responsible for Competitive Programming or their designated representative, consistent with the organization's governance procedures.

No player may be added to, removed from, or moved between teams after final roster approval unless authorized by the Board or its designated representative. Approved changes should be documented.

Roster changes after final approval should occur only in exceptional circumstances, including injuries, withdrawals, disciplinary matters, or other operational needs approved in accordance with this policy.

9. Absences, Injuries, and Special Circumstances

The Selection Committee may consider prior-season evaluations, coach feedback, observed play, medical limitations, or an alternate evaluation opportunity, where available and appropriate. Selection of any player who is absent from tryouts, in whole or in part, will be left to the discretion of the Head Coach and/or Selection Committee. Approval of an exception does not guarantee team placement.

10. Confidentiality and Communications

Evaluation forms, evaluator notes, committee discussions, and roster deliberations are confidential and shall not be shared publicly. Families may receive general information about the tryout process and, where appropriate, development-focused feedback, but individual evaluator scores and comparative rankings should not be released unless the Board approves a different process.

Roster decisions should be communicated in a timely and respectful manner after final approval. Communications should identify the team placement decision and, where applicable, any next steps for registration, fees, uniforms, practices, or parent meetings.

Once A team invitations have been sent, families will have 48 hours from receipt of the invitation to confirm whether they wish to accept placement on the A team. This response period is necessary to protect the confidentiality of roster decisions while invitations are being finalized and to ensure fairness to players who may be considered for B team selection. B team selection emails shall not be sent until all A team invitations have been accepted, declined, or otherwise resolved, so that team placement can be communicated accurately, fairly, and without creating confusion or premature disclosure of roster decisions.

The Board, Selection Committee, or designated program representative may approve exceptions to this communication timeline where necessary, including but not limited to time-sensitive registration deadlines, tournament entry deadlines, family emergencies, failure to respond within the stated period, or other operational circumstances that require earlier communication or roster finalization.

11. Appeals and Process Concerns

Roster decisions are based on the Selection Committee’s judgment and are generally final. A parent or guardian may submit a written concern to the Board only if they believe this policy was not followed, a conflict of interest was not addressed, or a procedural error materially affected the process.

The Board may review the concern, consult relevant individuals, and determine whether corrective action is warranted. The appeal process is not intended to re-score players or overturn team placement solely because a family disagrees with the selection outcome.

12. Conduct Expectations

Members of the Selection Committee shall disclose any actual or perceived conflict of interest. Where appropriate, the Committee may require a member to refrain from participating in the evaluation or discussion of a specific player to preserve the integrity of the selection process.

Players, coaches, evaluators, Board members, parents, guardians, and spectators are expected to act respectfully throughout the tryout process. Harassment, intimidation, lobbying, disruptive conduct, or attempts to improperly influence evaluators, coaches, committee members, or Board members may result in removal from the facility, disqualification from the process, or other discipline consistent with organizational policies.

13. Policy Review

This policy should be reviewed by the Board at least annually and updated as needed to reflect organizational priorities, league requirements, facility rules, safety expectations, and best practices for youth sport evaluation.
